Admin Asst/CS Asst-Inflight

ESSENTIAL JOB FUNCTIONS:
  • Works under the direction/supervision of the Vice President Inflight Services.
  • Assist the Vice President, Director, and Managers in the headquarters with administrative functions including general office duties and typing of meeting notes.
  • Write, edit and post weekly inflight communication from Vice President, Inflight
  • Post, update and maintain departmental inflight website for postings of memos, departmental policy and communications.
  • Overall track and maintain inflight recognition program for both complimentary and complaint letters, distribute award and create graphs of goal performance.
  • Process all compliments by typing and sending commendation letters to flight attendants and track all communications for approximately 1400+ flight attendants.
  • Pull up crew and track all complaint letters creating trend data base by reason code
  • Maintains customer service data base for compliments and complaints
  • Manages daily office paperwork, ordering of supplies, messages and scheduling of meetings/travel for the headquarters staff
  • Processes and collects appropriate approvals of payroll forms for the department.
  • Collects and tracks crew communication reports crew incident reports, safety reports, and other correspondences/reports as directed.
  • Maintains employee personal files, and other information distribution systems as directed.
  • Distributes Uniforms, Wings and designated supplies for flight attendants
  • Assists in tracking and coding of department invoices and expense reports.
  • Working knowledge of crew trac and computer systems to support management team with crew information
  • Maintains and awards annual flight attendant vacation, base transfers, and part-time requests
  • Maintains supplies and distribution to bases for Code-share and mainline programs.
  • Handles administrative functions overall for on-board sales processing
  • Operate and care for general office equipment, i.e. fax, printer
  • Track and trend flight attendant performance data
  • Updating departmental organizational charts, goals and initiatives
  • Maintain a high level of confidentiality
  • Perform other duties as assigned
 OTHER FUNCTIONS:Performs additional functions (essential or otherwise) which may be assigned. 

TYPICAL PHYSICAL DEMANDS:
Position requires some physical exertion such as pulling, pushing, reaching, bending, standing, walking and light lifting of boxes, bags, files, etc. not in excess of 30 lbs.

TYPICAL WORKING CONDITIONS:
Can involve long periods of sitting.  Computer work, in a typical office environment, subject to critical deadlines.  

MINIMUM QUALIFICATIONS:
High School Diploma or Associates Degree, and 2-4 years of office management experience.  Some airline operations experience preferred.  Must possess excellent organizational, interpersonal and communication skills and abilities.  Excellent computer, writing, grammar and typing skills.  Knowledge of word-processing and spreadsheet software such as Word, Excel, Micro Soft 98. 

SPECIAL REQUIREMENTS:
Must be able to work extra hours when necessary. Some travel may be necessary.  Must possess valid driver’s license and if position requires use of company vehicle(s), must be insurable under company insurance coverage.
